Free tools
Use free tools for the benefit of our students, but be aware that they may become either freemium or require funding as they mature. They also may simply disappear as the developer no longer has the time or money to keep the business viable.
Funding for digital tools
Funding for your digital tools is obviously a critical component in the decision of what tools to deploy. If the tool is free, please be aware of what is referred to as freemium. Before decisions are made, we want you to be cognizant of the fiscal implications of the use of these tools. If the tool has a cost, who is going to pay for it? This is not always an easy question to answer. Speak with your building administration, department head etc to ensure the funding source is there before you proceed.
Funding Source Secured
Now that you have a source identified, before you proceed, you may want to ensure that the funding can continue beyond the current year. It is very frustrating to find a tool that works with your students only to find that you can’t use it in subsequent years due to a lack of funding.
Student Privacy Guidelines
The laws regarding student privacy, content creation, and data are complex and part of an ever-changing digital landscape. With that in mind, before we authorize an application requiring a student log in and/or creation of an account, we need to be diligent in looking at software service agreements and any other language dictating the use of digital tools. The process is not quick as it needs to go through town legal, so please be patient when expecting an answer to your request.

Signed Privacy Agreement
Please ensure you have received email verification from a program coordinator that we have a signed agreement before using any digital tool requiring student accounts. Direct other inquiries to the Media Services Coordinator.
Program Coordinator Approval
In order for an app or web resource to be used, whether free or paid, it has to be approved in writing (email) by a program coordinator. If there is any doubt, please contact the program coordinator for your content area or the media services coordinator.
Has I.T. Looked at System Requirements?
Michael Ting or Chris DiAngelo will be responsible for determining this.
Does the app need to be loaded in Meraki?
Karen Martin or Chris DiAngelo will be responsible for this.
Do students need to be rostered?
Jen Lau will be responsible for this.

Final Approval
Please wait until you receive a confirmation email stating that the tool requested has been approved. This process may involve the following: purchasing, IT backend requirements, student rostering or other requirements necessary by IT or other policies.
